Wedding Pack-Up Plans

Do you have a strategy for what needs to be done at the conclusion of your event - and who will be available to do it?  Most event hosts are aware of the firm venue checkout time but are shocked to discover how much work they are “stuck” doing at the conclusion of a long celebration day...and how few people are around to help do it.  Packing up personal and decorative items plus any leftover food and beverages is much harder than it looks.

We encourage our Abbey Estate venue families to consider making post-event plans for the following:

  • PEOPLE.  Put together a “Post Event Pack-Up Team.” Select different people than those that have already served in your wedding party as they are likely to be exhausted by their previous responsibilities or have “enjoyed themselves” a bit too much during the event to be of much help.

  • VEHICLES. Make certain that the members of your Pack-Up Team have enough vehicles/trunk space to accommodate items to be transported.  We’ve seen people have to make multiple trips to pick up remaining items - sometimes resulting in penalty fees for exceeding checkout time limits.

  • CHANGE OF CLOTHES/FOOTWEAR.  The Pack-Up Crew should change into something comfortable quickly,  There is nothing worse than seeing people in high heels or suits, after a long day, trying to disassemble an event venue.

  • ASSIGNMENTS & PACKING CONTAINERS. To expedite departure, Pack-Up Team members should be assigned to specific jobs to make certain nothing is overlooked.  It’s also helpful to give them packing boxes or storage containers and let them know where and when items should be returned/dropped off.  Examples of possible Pack-Up tasks include:

  • Signed Marriage License, Unity Candle, Ceremony Decor

  • Gifts/Cards & Guest Book

  • Floral Arrangements, Vases, Candles

  • Photographs/Signs/Memorial Table

  • Head Table & Guest Table Centerpieces & Decor

  • Appetizer Stations

  • Cake & Dessert Tables

  • Photo Booth

  • Bridal Preparation Suite

  • Grooms Preparation Suite

  • Bar and Drink Stations

  • Kitchen and Buffet Stations
